Once the employment contract has been signed, it is best to communicate transparently with your new employee about how they can best prepare themselves. Answer all of the employee's questions as best you can. Also, send them information and documents before they start work. This will make it easier for both sides to get off to a smooth and productive start.
1. Language & cultural preparation
• Provide a basic vocabulary in the working language – for example, in the form of a “vocabulary book.” We also recommend the language learning app Duolingo.
• Explain cultural peculiarities of the workplace (meal times, manners, tipping rules, etc.).
• Team communication: Which apps or tools are used in the company (e.g., WhatsApp or Microsoft Teams)?
2. Job & process training
• Provide digital onboarding videos on work processes in the respective work area. You don't have to create these yourself – there are many explanatory videos available for free use on YouTube, for example.
• Provide seasonal workers with checklists for their first day of work—work clothes, equipment, documents.
• Prepare a list or an online tab on your website with frequently asked questions (FAQs) about working hours, break regulations, or shift systems.
3. Legal & administrative
• Clarify in advance which documents are required. These include, for example, employment contract, ID, bank details, tax identification number, social security number or the confirmation of health insurance.
• Obtain permits and visas from third-country nationals before they travel.
• Request health certificates if necessary – for example, hygiene training in the hospitality industry.
4. Logistics & organization
• Travel planning: information on arrival, meeting point, and pick-up service
• Accommodation information: address, facilities, rules
• Packing list with important items – for example, work clothes, weather-appropriate clothing, personal items
5. Motivation & loyalty
• Digital welcome package: for example, small surprises such as discount codes for leisure activities
• Share the company's goals and vision so that seasonal workers feel involved from the start and can engage with the philosophy of the company.
