Do you have little experience with job portals or applications from foreign applicants? Here are a few basic principles and useful tips on how to deal with applicants and how to win them over right away.


1. Speed is crucial


• Respond to applications within 24 to 48 hours – even if it's just a confirmation of receipt.

• If possible, you should send an automated confirmation of receipt.

• Quick responses increase the chance of securing good candidates before they find another job.


2. Clear communication from the outset


• In your first response, directly mention the next steps – for example, scheduling an appointment for a conversation (phone call, video call, or on-site appointment) or required documents.

• Be transparent about job details, working hours, accommodation, salary, etc.


3. Conduct a structured interview


• Introduce your company.

• Describe the position and the associated tasks.

• Questions about motivation: Why a seasonal job? Experience in a similar position?

• Practical questions: Availability? Language skills? Special qualifications? Flexibility with working hours and shift changes? Ability to adapt to a multicultural team?

• Allow the applicant to ask questions and answer them honestly.


4. Quick decision & feedback


• Let the applicant know whether they have been accepted or rejected within a few days.

• If accepted: send written confirmation including the employment contract and travel information.

• If rejected: keep it short, friendly, and respectful.


5. Good applicant retention


• Once the applicant has accepted the offer, maintain regular contact until they start work – for example, by sending them preparatory documents and brief updates. This will prevent the applicant from deciding to join another company in the meantime.
